Depending on how you interact with Peakrepz, we may collect:

- Information submitted through our coaching enquiry or application form
- Your goals, training history, experience and availability
- Nutrition, lifestyle, sleep, recovery and activity information
- Weight, measurements, body-composition information and progress records
- Information concerning injuries, pain, medical conditions, medication, pregnancy or other health considerations that you choose to provide
- Coaching check-ins, messages, consultation notes and progress reviews
- Billing, invoice and transaction records
- Photos, videos, testimonials and transformation material where appropriate permission has been provided
- Correspondence sent through email, WhatsApp, telephone, Instagram or other communication channels
Peakrepz does not store full payment-card details. Payments may be processed by third-party banking or payment providers under their own privacy terms.

We will not automatically add coaching applicants to a general marketing list. Any future promotional email or marketing communication will be managed in accordance with applicable law and, where required, separate consent.

Depending on the purpose, we may rely on:
Contract and pre-contractual steps. We may use your information where necessary to respond to a coaching application, take steps requested by you before entering a contract, or provide coaching services under an agreement with you.
Legitimate interests. We may use information where reasonably necessary to administer Peakrepz, communicate with applicants and clients, improve services, protect the business, maintain appropriate records and manage the coaching relationship.
Legal obligations. We may retain or disclose information where necessary to comply with legal, tax, accounting, regulatory or insurance obligations.
Consent. We may rely on consent for specific activities such as using approved photos, videos, testimonials or transformation content.
Health and special-category information. Information concerning your physical or mental health may be special-category personal data. Where you provide health, injury, medical or related information, Peakrepz may rely on an appropriate lawful basis under Article 6 of the UK GDPR and your explicit consent under Article 9 where required. Any request for explicit consent will be presented separately and clearly.
You may withdraw consent at any time by contacting peakrepzfitness@gmail.com. Withdrawal will not affect processing that lawfully took place before consent was withdrawn.
If Peakrepz cannot process information needed to assess risk and support safe coaching, we may be unable to begin or continue providing coaching.
6. Health and fitness information
Health and fitness information is used only where reasonably necessary to:
- Review coaching suitability
- Support safe training decisions
- Adapt exercises, training load or coaching delivery
- Understand recovery or physical limitations
- Manage the coaching relationship appropriately
Peakrepz does not provide medical diagnosis, medical treatment, physiotherapy, psychotherapy, medical nutrition therapy or dietetic treatment.
If you have a medical condition, injury, unexplained symptoms, pain or another health concern, you should obtain appropriate advice from a qualified healthcare professional.
7. Photos, videos, testimonials and transformation content
Peakrepz will only use an identifiable client’s name, testimonial, photos, videos or transformation material for marketing or promotional purposes where appropriate permission has been obtained.
Media permission is separate from the general coaching relationship and is not a condition of receiving coaching.
You may withdraw permission for future use by contacting peakrepzfitness@gmail.com.
Withdrawal will apply to future use. Material already printed, distributed, published, shared, indexed, reposted, archived or stored by third parties may not always be capable of complete removal.
8. Sharing your information
Where reasonably necessary, we may share information with trusted service providers and professional advisers, including:
- Website, hosting and form-service providers
- Email, cloud-storage, calendar and communication providers
- Payment processors and banking providers
- Accountants, insurers, solicitors and other professional advisers
- Coaches or contractors involved in providing an agreed service
- Government, tax, regulatory, legal or law-enforcement authorities where required
Service providers are only permitted to use personal information for the relevant service or lawful purpose.
Peakrepz does not sell personal information.

Some technology and service providers may store or process information outside the United Kingdom.
Where an international transfer occurs, Peakrepz will take reasonable steps to ensure an appropriate legal transfer mechanism or safeguard is in place where required.

Peakrepz keeps personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet legal, insurance, accounting or business requirements.
As a general guide:
- Unsuccessful or inactive enquiries and applications may be retained for up to 24 months.
- Coaching and client records may be retained for up to 6 years after the coaching relationship ends.
- Financial, invoice and transaction records may be retained for the legally required accounting or tax period.
- Photos, videos and testimonials may be retained until permission is withdrawn or the content is no longer reasonably required.
- Information may be retained longer where necessary for a legal claim, dispute, safeguarding matter, regulatory requirement or insurance purpose.

Peakrepz takes reasonable organisational and technical steps to protect personal information against unauthorised access, loss, alteration, misuse or disclosure.
Access is limited to people and service providers who reasonably need the information for an authorised purpose.
No internet-based system is completely secure, and absolute security cannot be guaranteed.

Peakrepz services and website application forms are intended for adults aged 18 or over.
Coaching for anyone under 18 will only be considered with appropriate involvement and written agreement from a parent or legal guardian.

Peakrepz does not currently use non-essential analytics cookies, advertising pixels or marketing-tracking technologies.
The website may use strictly necessary technical storage or similar technology where required for essential website functionality, security, form operation or user-requested features.
